Ear4U: "Promoting Grievance Mechanisms in the Coffee Sector"

Background

Ear4U is a private joint grievance mechanism under the umbrella of the German Coffee Association (Deutscher Kaffeeverband e.V. (DKV)). The mechanism is in accordance with the German Supply Chain Act (LkSG) and the UN Guiding Principles on Business and Human Rights.

Ear4U is designed to empower all actors in the coffee supply chain to report concerns related to human rights and environmental risks. The mechanism is intended to serve as an early warning system, enabling companies to take corrective actions before issues escalate. As mandated by the German Supply Chain Law, it covers both the individual company’s own business areas and the areas of their direct and indirect suppliers.

Ear4U was developed by GRAS GmbH and MCS in 2022. DKV commissioned MCS to support the socialization of Ear4U in 2025.

The Challenge

Grievance mechanisms are essential channels that allow potentially affected persons to raise concerns and seek remedies for issues related to business operations. These mechanisms are a key component of responsible business conduct, according to the UN Guiding Principles on Business and Human Rights, which recommends that companies establish robust and effective systems. Furthermore, regulations such as the LkSG mandate that the implementation of grievance mechanisms is a due diligence obligation.

However, in practice, many private grievance mechanisms remain unknown to the very people they are meant to protect. This challenge underscores the importance of actively socializing these mechanisms—ensuring that affected stakeholders are aware of their existence and understand how to utilize them. Engaging with stakeholders not only increases awareness but also provides valuable feedback to assess and improve the effectiveness of the grievance process.

Our Solutions

MCS socialized the Ear4U grievance mechanism by actively introducing, promoting and embedding it within local networks and channels—including smallholder farmers, trade unions, local coffee traders and non-profit organizations. Through engagement with these key stakeholders, MCS explained how the mechanism works, ensuring people understood its purpose and how to use it. Furthermore, MCS explored opportunities to collaborate and combine efforts with existing local grievance mechanisms and initiatives to increase outreach and effectiveness.

Our Approach

Three key coffee-producing countries were selected to socialize Ear4U: Vietnam, Uganda and Honduras. MCS carried out a thorough stakeholder mapping across the supply chains to identify key actors to introduce Era4U, demonstrate its use and gather feedback on the grievance mechanism’s feasibility and challenges. These conversations provided valuable insights into their experiences and expectations. Additionally, in-person meetings were held in all three countries to raise awareness about the mechanism, identify areas for improvement and support its practical implementation. This comprehensive approach ensured that the mechanism was not only better understood by local stakeholders but also more responsive to their needs and realities.

The on-site workshops focused on uncovering common issues experienced by smallholder farmers and workers, exploring cultural norms related to trust, mapping local leadership structures and power dynamics and assessing factors such as literacy levels and access to technology—including phones, computers and the internet.

The Results

The insights gained from the socialization process will be instrumental in refining the grievance mechanism and its procedures—ensuring that it is both effective and accessible. Furthermore, the needs and perspectives of the stakeholders will be better understood, and can better tailor Ear4U to address real-world challenges, improve user trust and, ultimately, enhance its overall impact.
